Managing notification emails
Enter an entity’s email address(es) and flag them to receive specific types of emails from RB. For example, if a firm wants different types of emails sent to different people in the company — emails about jobs should be sent to a paralegal, while emails about invoices should go to the Accounting department — you can designate which addresses receive which types of email notices.
- To manage notification emails for:
- One entity – In an Edit window, scroll or jump to the Notification Email pane.
- Multple contacts at a firm – In a View Firm/Edit Firm window, click Contacts > Notification Emails.
- Any email addresses that have already been entered appear in the pane. To add notification emails for:
- One entity – Click
next to Notification Email to enter additional email address(es).
- Multple contacts at a firm – Click New.
- In the New Notification Email panel, select an email category in the Notification Type drop-down. For example, select Job for an address to receive RB automatic emails about scheduled depos. Notification types are set by RB and cannot be edited.
- Enter the address in *Email (required), which you want to send these type of email notifications to.
- Make any notes to your staff about the address in Remarks.
- If there is an Add To pane below Remarks, the address entered in *Email will be used for all the contacts selected. If you do not want to send the type of notification email selected to the address in *Email for any of these contacts, uncheck their box(es). For example, of a lawyer wants to get their own job and repository notifications, but someone else at the firm should get all invoice notifications, you would uncheck the lawyer in the Add To pane when adding an email address for the the firm’s invoice notification emails.
- Click Save >
- Save & New: To add the email address to the Notification Email pane and continue adding addresses.
- Save & Close: When you are finished adding addresses.
NOTE: Entities’ email addresses automatically added to their notification emails list
When saving a new contact or resource, RB automatically fills their Notification Email pane with the email address entered in their General pane. See Entering general contact information.
TIP: Quickly remove inactive contacts from future notification emails
If a contact has left their job, select No in the Active slider in the General pane of their listing. When you click Save, a popup will ask if you want to delete their email address from notification emails. Click Yes, and the contact will be removed from any future automatic notification emails.
